We are searching for a Plant Administrative Assistant - Bilingual to join our team located at our facility in Jacksonville, IL.

Your Role:

As a Plant Administrative Assistant - Bilingual, you will be responsible for providing administrative support, composing routine correspondence, responding to inquiries, and performing various tasks. You will have the opportunity to:

  • Conduct audits in all production areas.
  • Conduct basic data analysis in operations for continuous improvement projects.
  • Ensure plant communications are updated via Enplug and postings – In English and Spanish.
  • Greet and assist visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls.
  • Receive, sort, and distribute daily mail and deliveries.
  • Provide basic and accurate information in-person and via phone/email.
  • Sort, file, and organize documents and paperwork.
  • Perform data entry tasks and maintain accurate records.
  • Prepare and process paperwork for new and existing clients.
  • Present data and information to targeted audiences in English and Spanish.
  • Track all who attended and completed training for safety, quality, and production.
  • Ensure all training is current and communicate to department leads.
  • Point of contact for all documents that need to be controlled for audits.
  • Assist with new hire orientations in English and Spanish.
  • Translate various employee related materials to Spanish.
  • Work with the Talent Acquisition team to schedule on-site interviews (English and Spanish).
  • Partner with Training team to assist with training sessions for bilingual Spanish speaking employees.
  • Assist with translation for various HR related matters such as:
    • Employee Townhall meetings
    • Benefits Enrollment
    • Employee Relations matters

Ultimately, you will use your organizational skills to assist with day-to-day operations of the plant and will be the go-to person for administrative tasks. You will be an essential part of the team and help support our clients, visitors, and employees. We need you to have:

  • High School Diploma/GED.
  • Minimum 2 years' administrative experience.
  • Intermediate/Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and intranet/internet.
  • Strong communication and customer service skills.
  • Strong consideration for bilingual (English/Spanish) candidates.
  • Excellent interpersonal skills with the ability to handle confidential information.
  • Ability to work with a sense of urgency and manage multiple tasks at one time.
  • Ability to meet pending deadlines, prioritize work and urgent work requests.
  • Ability to work independently and together within a team.
  • Ability to provide exceptional customer support in person, over the phone, or via email.

Icing on the cake:

  • Previous experience in a clerical or administrative role.
  • Prior experience in the Consumer-Packaged Goods industry.
